AI in Finance and Accounting Teams: Excel, Reconciliation, Reports and Controls (2026)

Finance and accounting teams are the most cautious about AI, and that caution is well placed: when a figure is entered wrongly the result is not a text error but a booking error. Even so, finance's day consists largely of recurring text and spreadsheet work: writing formulas, comparing two lists, interpreting the monthly table, summarising a regulatory clause. This guide explains which task can be moved safely and where the figure is verified.

The numerical accuracy rule

The one-sentence rule: the tool does not calculate, it builds the calculation. AI writes the formula, suggests the comparison method, interprets the table. Excel, Sheets or the accounting software does the calculation. No figure the tool adds up in the chat window goes into a report. A team that adopts this rule uses AI with confidence. A team that does not abandons it at the first mistake.

1. Excel and Sheets: formulas, Power Query, macros

The fastest gain is here. The team writes what it wants in plain language: "Look up the invoice numbers in column A in the list on sheet B, flag the ones not found, group the date by month." The tool writes the formula or the Power Query steps and explains each step. For complex tasks it produces a VBA macro or Apps Script. Three habits are needed:

  • The formula is tried on test data and applied to the real table afterwards.
  • When the tool explains the formula it also writes the logic, and the team notes this explanation in the file.
  • The ten most-used formula patterns are placed in the shared folder as a "finance formula bank".

2. Reconciliation and invoice checks

Account reconciliation, bank reconciliation and invoice checks are a comparison of two lists. The tool takes the two tables and lists the matches, the non-matches and the possible matches (same amount, date one day apart, and so on) separately. The final matching decision belongs to the accountant. There are three rules in this flow:

  • Customer and bank information is anonymised. The account code is enough.
  • The tool says "possible match", not "matched". Approval is with a person.
  • The result table is recalculated in Excel. The tool's total is not taken as the basis.

3. Monthly report commentary

The trial balance, the income statement and the budget comparison are given to the tool, and the following is requested: which items deviated from budget, what the possible causes of the deviation might be, which three questions management should be asked. The tool reads the table and writes the commentary. The finance manager verifies the commentary and translates it into their own language. The report format is set up once and produced in the same pattern every month.

4. Regulation and circular summaries

A new communique, circular or legal change is given to the tool, and the question of what changed for the company and what must be done by which date is asked. This is a good start for reading a long text, but it is not a final opinion. The tool can produce outdated or wrong clauses. The rule: the summary is compared with the source clause, and any opinion going to a client or management passes the certified accountant's approval. A representative scenario: a 6-person finance team

The scenario is representative, not a measured client result. Suppose the finance team of a manufacturing company checks three hundred invoices a month, reconciles with fifteen accounts and presents a monthly report to management. In the first month after the training:

  • The ten most-used formulas and two Power Query flows are added to the formula bank.
  • The "possible match" table flow is set up for reconciliation, with the final decision staying with the accountant.
  • The monthly report commentary is produced in a single format, and the text going to management passes through the finance manager's hands.
  • A one-page data rule is written: which table is anonymised, which account is used.

How to start

The most productive format for a finance team is a full-day workshop in which the team works with its own spreadsheets and its own reports. Frequently Asked Questions

What does AI in Excel give a finance team?

Most of all in writing formulas and macros. The team describes what it wants in plain language, and the tool writes and explains the formula, the Power Query step or the VBA macro. The second gain is table interpretation: it summarises within minutes which item in the monthly table deviated.

Is it safe to upload a financial statement to ChatGPT?

Not with a personal account. Yes with a corporate account and a written rule. Working with tables from which customer names, bank details and personal data have been removed is the safest route. The company's financial data is processed only in plans with data training turned off.

Can AI do the reconciliation itself?

It compares two lists, tabulates the differences and suggests possible matches. But the final matching and booking decision belongs to the accountant. The tool can make mistakes in numerical operations, so the output is always compared with its source.

Can AI be trusted on financial regulation questions?

Yes for regulation summaries and comparisons, no for a final opinion. The tool can produce outdated or wrong clauses. The rule: every regulation answer is verified against the source clause, and when an opinion is written for a client the certified accountant's approval is obtained.
