Microsoft 365 Copilot at Work: What It Does and Does Not Do in Outlook, Word, Excel, Teams and PowerPoint (2026)

Microsoft 365 Copilot is not a chat tool like ChatGPT. It is an assistant that sits inside the Outlook, Word, Excel, Teams and PowerPoint the company already uses. That is also its biggest difference: through Microsoft Graph, Copilot sees your email, your files, your Teams conversations and your calendar. This makes some tasks much easier and makes some risks bigger. This guide explains what really works in which app, what the licence costs as of September 2026 and what is still better done with another tool.

Copilot Studio, for building internal agents, is included in all Microsoft 365 Copilot licences. Multi-step agent tasks (running a request across several apps in sequence) were also added in 2026. The licence decision is made not on price but on how much of the team's day is spent in Microsoft apps.
App by app: what is it good for?
Teams
The fastest gain. When the meeting ends, the summary, the decision list and the actions are ready. You can ask a meeting you could not attend "what was discussed that concerns me". The rule: the action list is not sent to the team before the summary is verified, because the tool can mix up speakers.
Outlook
It summarises long email threads, drafts replies, adjusts the tone. A flow that works well: scanning the morning inbox for "emails waiting for a decision today". The weak point: in Turkish business correspondence the tone is sometimes too formal or feels translated. It is corrected by providing a tone document.
Excel
Having formulas written, interpreting the table, analysis by adding columns. The most valuable place for finance teams. The rule is the same: the tool builds the formula, Excel does the calculation, the result is verified against the source. For finance flows, see the guide to AI in finance teams.
Word
Document drafts from existing files, summaries of long documents, rewriting. The best results come from source-grounded requests such as "prepare a proposal draft based on these three files". For free-form and long writing, Claude or ChatGPT may still be stronger.
PowerPoint
With agent-based slide generation, released to general availability in April 2026, it produces a presentation draft from a Word document or a short brief. What it does not do, and where another tool is needed
- Open research and current information: Copilot is strong on company data. For open web research, tools such as ChatGPT and Perplexity are more flexible.
- Long and careful writing: For the final version of reports, articles and proposal text, Claude's writing quality is preferred in most teams.
- Image generation: Copilot is limited for corporate visuals. ChatGPT or dedicated image tools are needed.
- Code and automation: For agent-based software work, tools such as Claude Code and Codex are a separate world.
The one condition before rollout: permission cleanup
Copilot sees everything the user can already access. That is where the problem starts: the salary table, the contract or the personal data in folders that have been left accessible to "everyone" for years can now be summarised with a single question. Before the licence is switched on, SharePoint and OneDrive permissions are reviewed, sensitive folders are labelled and oversharing is closed. This is IT's job, but management owns it.
A rollout plan for the team: four weeks
- Week 1: The pilot group (5 to 10 people) uses only Teams summaries and Outlook summaries. No setup, just habit.
- Week 2: One app is added by department: Excel for finance, Word proposals for sales, PowerPoint for marketing.
- Week 3: The pilot group writes down the three most useful flows, and a one-page usage rule comes out.
- Week 4: The flows and the rule are rolled out to the whole team with training. Use of a licence rolled out without training drops within a few weeks.
How to start
Copilot training is not a tour of the tool. The team works with its own emails, its own files and its own meetings, and leaves at the end of the day with a list of flows specific to its department.
